Privacy Policy

1. Overview
This Privacy Policy explains what information Quorum collects, how we use it, who we share it with, and the choices you have. Quorum is operated by Quadratic Digital. If you have questions, email hello@hasquorum.com.
2. Information we collect
Account information. Email address, display name, and authentication identifiers provided through Amazon Cognito.
Meeting content. Audio you record through the Service, the resulting transcripts, the structured minutes generated from them, meeting metadata (date, type, attendees), and the generated Word documents.
Organization data. Names of organizations you create, members you invite, and the role assignments you make.
Billing information. If you subscribe to a paid plan, Stripe handles payment processing. We receive a customer identifier and subscription status from Stripe; we never receive or store your full payment card details.
Usage and diagnostic data. Server logs, request IDs, feature usage, and error traces that help us operate and improve the Service.
3. How we use information
- To provide, maintain, and improve the Service.
- To generate transcripts and meeting minutes from your recordings.
- To authenticate your account and keep it secure.
- To process payments and manage subscriptions.
- To send transactional messages (invite emails, billing receipts, security notices).
- To comply with legal obligations and enforce our Terms.
We do not sell your personal information, and we do not use your meeting content to train machine learning models.
4. Third-party processors
To deliver the Service, we share information with the following processors, each bound by their own privacy terms:
- Amazon Web Services — hosting, databases, file storage, email delivery, and identity management (Cognito). Meeting audio and documents are stored in AWS S3 in the United States.
- Deepgram — converts meeting audio into text with speaker separation. Audio is transmitted to Deepgram only for the duration of transcription.
- Anthropic — generates structured minutes from the transcribed text. We send the transcript and meeting metadata; we do not send raw audio.
- Stripe — processes subscription payments. Stripe collects and stores your payment details directly.
5. Data retention
Audio recordings are retained for 90 days after upload and then automatically deleted. Transcripts, generated minutes, and Word documents are retained for the life of your account so you can access them. You may delete individual meetings at any time from your dashboard. When you close your account, we delete your content within 30 days except where retention is required to comply with legal obligations.
6. Security
We protect your information with industry-standard measures: encryption in transit (TLS) and at rest (AES-256 on S3 and RDS), restricted IAM permissions, audit logging, and network isolation. No system is perfectly secure, but we work to reduce risk.
7. Your rights and choices
You may:
- Access, export, or delete your content through your dashboard.
- Update your account information at any time.
- Cancel your subscription at any time through the billing portal.
- Request deletion of your account by emailing us.
Depending on where you live, you may also have rights under laws such as the GDPR or the CCPA, including the right to access, correct, port, or delete your personal information. Contact us to exercise those rights.
8. Children
Quorum is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
9. International users
Quorum is hosted in the United States. If you access the Service from outside the US, your information will be transferred to, stored, and processed in the United States.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be announced by email or an in-app notice. The “effective” date at the top reflects the most recent revision.
